Your clinic's day,
closed and locked

Every patient seen today, what they were charged, and how they paid. The totals add themselves up, the day closes in one click, and after that nobody can quietly change it.

Runs in the browser. Nothing to install. Working the same day.

TODAY Your spreadsheet

  • One tab per day, that somebody has to remember to duplicate
  • Formulas that break, and nobody notices until month end
  • Anyone can edit an old day and leave no trace
  • Working out what a provider produced is half an afternoon of adding up
  • Two locations means two blocks of columns and twice the mistakes

WITH CLINIC LEDGER

  • You capture from the keyboard: type, Tab, Enter, next patient
  • Cash, card and what is still owed, worked out as you type
  • Close the day and the records are locked
  • What each provider produced, on one screen
  • Each location with its own close and its own logo

From the visit to a closed day, in three steps

This is the whole workflow. There is no fourth step, and no module you will never open.

1

Reception types the line

Patient, chart number, provider, the amount and how they paid. A new patient is created from the same row without leaving it. The balance is computed, never typed.

2

The totals follow along

Cash, card, what is still to be collected, and what each provider earned — all of it recalculated on every line, so the till is balanced before anyone counts it.

3

You close the day

One click freezes it. The owner and each provider get the day's numbers by email. Only the owner can reopen a day, and that gets written down too.

What it does

It solves one thing, and it solves all of it.

The daily close

One line per patient: chart number, provider, service type, amount, cash and card. Totals at the foot, always balanced.

Production per provider

How many patients each one saw, what they generated, and what they are owed under their rate — fixed per visit or a percentage, and different per service type.

The day really closes

Closing freezes the records. Only the owner can reopen a day, and who did it and when is written down.

History and export

Filter by date, location, provider or patient, with the totals for the period. Export to CSV and open it in Excel whenever you need to.

Patients and charts

One chart number per person, no duplicates. Their page shows every visit and the balance they still owe.

Several locations

Each with its own providers, its own close and its own logo. Switch location at the top and everything else follows.

Everyone sees their own part

The scoping is not cosmetic — it is enforced on the server. Nobody sees what they should not, even knowing the exact address.

O

Owner

Sees and runs everything in their clinics: locations, providers, rates, users and the audit log. They are the one who closes and reopens days.

P

Provider

Captures their own visits and sees their own side: their production, their patients, what they earned. Not the other providers, not the rest of the till.

A

Assistant

Captures and reads, but only for the providers the owner assigns them. Useful when the front desk covers some physicians and not others.

✓

All of it is on the record

Who opened which chart, who captured each payment, who closed each day — with the time and the IP address, and no way to erase it from inside the app.

Pricing

Per location, with unlimited providers and users. We do not charge per person, because we do not want you leaving anyone outside the system.

One location
$199 / month
  • Unlimited providers and users
  • Daily close, history and CSV
  • Audit log
  • Email support
More locations
+$99 / month each
  • Added on to the plan above
  • One sign-in for all of them
  • Setup from $750
  • Two months free when paying yearly
Setup is billed separately and covers loading your current patients, configuring locations, providers and rates, and training your team. So on day one you are working, not configuring.

Patient data, taken seriously

It runs on HIPAA-eligible Amazon Web Services, with the business associate agreement signed.

BAA signed with AWS. The document HIPAA requires of any vendor that touches patient data.
Encrypted in transit and at rest. Nothing travels or sits in the clear.
A six-year audit log. Who opened which chart and when, and it cannot be edited from inside the app.
Sessions that expire themselves after 30 idle minutes, plus a lockout after repeated failed attempts.
Your data is isolated. Each clinic lives in its own space; no other one can reach into it.
Continuous backups with restore to any point in the last 35 days.
To be clear: HIPAA does not certify software. What can honestly be said is that the infrastructure is eligible, the BAA is signed, and the technical controls are in place. The rest — policies, training, and the agreement between your clinic and us — we settle with you before you start.

Twenty minutes, with your own numbers in front of you

We set your clinic up in a demo, with your brand and your locations, and you decide looking at something real. No commitment.
